1. Who we are
Regulix (“we”, “us”, “our”) provides Regulix-eQMS, an electronic quality management system for pharmacy teams. The platform is powered by Ultralink IT Solutions LLP.
For privacy enquiries, contact us at [email protected].
2. Information we collect
We may collect the following categories of information:
- Contact and enquiry data — name, organisation or pharmacy name, email address, phone number, and message content when you request a demo or contact sales.
- Account and usage data — user credentials, role assignments (for example Staff, RP, SP, Admin), and activity needed to operate Regulix-eQMS for your organisation.
- Quality and operational records — controlled documents, acknowledgements, training evidence, risk and change records, and related audit logs that your organisation stores in the system.
- Technical data — IP address, browser type, device information, and approximate location derived from network data, collected to secure and improve our services.
You should not submit patient-identifiable information through marketing forms, demo requests, or AI prompts unless a separate written agreement expressly allows it.
3. How we use your information
We use personal data to:
- Respond to demo requests and sales enquiries
- Provide, maintain, and support Regulix-eQMS
- Authenticate users and enforce role-based access
- Maintain audit trails and security logs
- Improve website performance and service reliability
- Comply with legal obligations that apply to us
4. Legal bases
Where UK GDPR / EU GDPR applies, we process personal data on one or more of these bases: performance of a contract; legitimate interests (such as securing our services and responding to business enquiries); consent where required; and legal obligation.
5. Sharing your information
We do not sell personal data. We may share information with trusted processors who help us host, secure, or operate the service (including Ultralink IT Solutions LLP), and only as needed to deliver Regulix. We may also disclose information if required by law or to protect rights, safety, or security.
6. Retention
We retain personal data only for as long as needed for the purposes described in this policy, including contractual, security, and legal retention requirements. Organisation-controlled QMS records are retained according to your organisation’s configuration and applicable agreements.
7. Security
We apply technical and organisational measures appropriate to the nature of the service, including role-based access controls and support for two-factor authentication. No method of transmission or storage is completely secure; please protect your account credentials.

Depending on your location, you may have rights to access, correct, erase, restrict, or object to certain processing, and to data portability. Where processing is based on consent, you may withdraw consent at any time. To exercise rights, contact [email protected]. You may also complain to your local data protection authority.
